These workflows make business processes more efficient by managing and tracking the human tasks involved with a process and then providing a record of that process when it completes. You can use an approval workflow to manage document creation, expense reporting, employee vacations, and more.

To set up the workflows, you simply apply one of them to a list, library, or content type. When doing so, you can change the attributes of the workflow, such as who will approve it, due dates for each task, and the message shown in the workflow. When finished with these settings, you can start using the approval workflow right away. To further customize the workflows, you can edit them directly in SharePoint Designer or With SharePoint Designer, you can customize the workflow forms, task outcomes, completion conditions, and every stage of the task process.

An approval workflow routes items in a SharePoint site to specified people for approval. It manages and tracks all of the human tasks involved with the process and provides a record of the process when it completes.

Approval workflows support any business process that requires sending documents or items to colleagues or managers for approval. Once an approval workflow is configured for a list or content type, business users can start the workflow at any time unless the workflow was configured to automatically start when the document is created or changed.

They can start the workflow from SharePoint Server or from Office application used to author the document.

When they start the workflow, they can choose who to send it to the approversdue dates, relevant instructions, and more.

When the workflow starts, it automatically assigns a task to the first participant in the workflow. If e-mail alerts are enabled, an email message will be sent to the participants. If the workflow has multiple participants, it can be sent one at a time serial or multiple participants at the same time parallelgoing through every participant until the workflow ends.

You specify serial or parallel tasks when setting up or starting the workflow. You can even set up the workflow in stages, with a series of serial tasks and parallel tasks containing different participants.Some workflows require pre-approval before the final approver is required to sign off.

In this walkthrough, we create a sequential approval flow that manages employee vacation requests. SharePoint is used here only as an example; it is not required to create approval flows. You can use any of the more than services with which Power Automate integrates to drive your flows.

Understand approval workflows in SharePoint Server

The valid responses to the Approvals - Start an approval action are "Approve" and "Reject". These responses are case-sensitive. Enter send email into the search box on the Choose an action card. This card is a template for the email that is sent when the status of the vacation request changes. Note: In the Body box on the Send an email card, use the Comments token from the Approvals - Start an approval action.

Use the Get the manager for the person who created the vacation request steps we did earlier to add, and then configure another Get manager action. This time we get the pre-approver's manager. If it's likely that your flow will run for more than 30 days, consider storing your approvals in Common Data Service. This makes it possible for you to create flows that act on responses to approval requests, even after the original flow run times out. To do this, use two flows, one to send an approval request, and the other to run business logic on the responses to the approval request, based on the Create an approval v2 action. If you use modern email clients, you don't have to wonder if a request is still required because Power Automate automatically updates the email to indicate that the approval is completed. Sometimes you might want to cancel an approval request that you've sent. In either case, the person who sent the request can Cancel it by following these steps:. I have used it for about 6 month now and have been able to automate many of our internal processes. It has been very helpful especially during the current climate of social distancing. This app has allowed us to streamline our business operations.

We use it for purchase requisitions and are also looking to use it shortly for personal development requests. Once you read the docs, you soon realize there is so much more than initially meets the eye. Every time I open the form approval add on, the menu bar is blank, no settings etc. This add-on has help us considerably, in managing our employee site access requests.

I particularly like our ability to add look-up tables and group recipients which is invaluable to our process. I've only experienced two problems: It can take three or four tries for the app to load when I want to make changes to the approval process. This has been very useful for booking and recording holidays in our office. Thank you. And, I want to add an area where my recommending personnel can add their own comments that I can see.

You can setup the workflow as simple as one person approval or as complex as multi-step approvals from many approvers and based on specific conditions for each approver.

Single-Step Approval sends the approval to all approvers at the same time. All approvers will be able to approve or deny entry simultaneously, without the need to wait for other approvers to approve.

The approval request is rejected if any of the approvers reject the request. Multi-Step Approval sends the approval in a sequential process. After a user approves, it will move to the next user to approve. In order for an entry to be marked as approved, every approver must individually approve the entry. When the end-user of the form submit an entry, the approvers will be notified to review the entry from MachForm Entry Manager dashboard.

Depends on the workflow type, the approval process will be automatically routed to the next approver or finalized. When you add an approver to a form, you can also add logic rules for the approver that control under which circumstances they will be required to approve submissions.

For example, you may only need a user to approve submissions if certain fields are selected. This approval routing logic will allow you to create a powerful workflow since you can apply different rules for different user. Since MachForm already has powerful email logic functionality, the notification for the approval workflow is also being integrated within the logic section.
